Classroom is a dedicated feature within ClassForKids, designed to give clubs a purpose-built daily overview of their sessions. It provides timestamped check-in and check-out functionality, detailed safeguarding notes, and real-time attendance visibility, helping clubs meet Ofsted requirements and maintain accurate safeguarding records.
Overview
Classroom provides a weekly overview of all scheduled classes and camps, using colored circles to clearly indicate the days on which sessions are running.
You can navigate between weeks using the arrows, or quickly find a specific week by searching for a particular date:
Attendance
Within the register, you can timestamp each child’s arrival and departure.
Simply select the child and click ‘Arrival’ when they arrive and ‘Depart’ when they leave.
If either action is selected accidentally, you can easily undo it and update the attendance record accordingly.
Actions
You can also add detailed notes under ‘Actions’. Notes can be categorised as:
Safeguarding
Appraisal
Follow-up
First Aid
History
All attendance activity will be recorded under ‘History’, where you can view a complete record of arrivals, departures, any actions that have been undone, and notes that have been added.
To add a note, simply select the child, click ‘+ Note’, and choose the relevant category: Safeguarding, Appraisal, Follow-up, or First Aid. You can then enter and save the appropriate details.
Bulk Actions
To save time, you can select multiple children or the entire class and perform actions in bulk, including recording arrivals, departures, or adding notes. This can be particularly useful in situations affecting the whole class, such as a fire alarm causing a session to finish early.
See Notes
To view notes across all classes and camps, select ‘See Notes’ on the main page. You can filter the records by child’s name, coach, class/camp type, or note type, making it easy to find the information you need. Each record displays the note details and the date it was created at a glance.
FAQs
Does Classroom support camps?
Classroom currently supports full-day camps alongside regular classes, giving your team real-time visibility of attendance and making it easier to keep track of the children in your care.
Half-day camp bookings are not yet displayed on the Classroom register, but this functionality is currently in development and will be available soon.
Can I track who dropped off or collected a child?
Classroom currently records the time a child is checked in and checked out, but does not yet capture the details of the specific person responsible for dropping them off or collecting them.
As a workaround, you can add a password or PIN as a safeguarding note, which will remain visible throughout the term for your team to reference when needed.
Can parents see safeguarding or first-aid notes?
Not currently. Parent access to safeguarding and first-aid notes is being reviewed, with appropriate access levels being considered as part of a future update.
Does Classroom replace my existing register?
No. Classroom is designed to work alongside your existing registers, rather than replace them. It provides an additional layer of functionality, including real-time attendance visibility, timestamped actions, and structured safeguarding records.
Your standard term or camp registers can still be used to access existing information such as attendance records, emergency contact details, and medical information.
Does Classroom guarantee Ofsted compliance?
No. Classroom is designed to support safeguarding best practices and help maintain clear, accurate records, but it does not guarantee compliance or replace your club’s existing safeguarding policies, procedures, and responsibilities.
What is the benefit of using Classroom if I already have a register?
A traditional register shows you whether a child attended a session, while Classroom provides a more detailed view of their attendance journey. This includes when they arrived and departed, who was responsible for the session, and any notes recorded by staff at the time.
This provides a clearer, more structured, and auditable record of each session.
Why can't Classroom notes be deleted?
Classroom notes are designed to provide a reliable and transparent record. Notes can be archived to keep the register organised, while the full history remains accessible within the ‘Notes’ section.
To protect the integrity of the audit trail, notes cannot be edited once they have been created. This ensures that important records, such as safeguarding concerns, first-aid incidents, and follow-up actions, remain an accurate reflection of what was recorded at the time.
