A walkthrough of the different payment options you can offer with ClassForKids

Payment Secures Booking

The 'Payment Secures Booking' feature means that parents and carers must make any required payment in order to book into one of your classes or camps.

'Payment Secures Booking' is applied to all bookings across your system and parents and carers will not be able to complete their booking without entering their card details.

This means you don't have to chase outstanding payments.

If you are running subscription classes, parents/carers must enter their card details for their booking to be confirmed. This will then ensure that payment is ready to be taken on the 1st of the following month.

No payment will be taken for their subscription payment at the time of booking.

However, payment can still be taken for any additional non-subscription items, such as camps, set-up fees etc.

You can switch this feature on in 'Settings' > 'Club Features'

Then use the toggle to switch 'Payment Secures Booking' on:

When you switch the 'Payment Secures Booking' feature on, you will be prompted to absorb the platform fees if you are currently passing them on.

You must absorb the platform fees to use this feature because alternative methods of payment are not available when this is switched on.


Offline Payments

If you are choosing to take payments outwith the ClassForKids system, you would need to ensure that the 'Payment Secures Booking' feature is switched off as when this feature is enabled, parents and carers must pay at the checkout.

When using offline payments, you can choose whether or not to absorb the platform fees or pass these on to parents/carers.

Payment Instructions

You can set payment instructions that are viewable at checkout. This information will let parents and carers know how far in advance they must pay for their booking.

Please note: Setting this up will not cancel any bookings of parents/carers who haven't paid within the allocated time. This is just a message to help encourage payment.

Choosing Your Payment Methods

At the checkout, parents and carers will be offered to pay online but you can also personalise any offline payment methods you wish to offer:

Recording Offline Payment Methods

Once you've received the payment outwith the system from the parent, you can record this as paid against the order.

You can access the parent's order from either: their profile, the class register (both under the 'Booking Record') or the outstanding order page.

You can record a payment against individual items in an order by expanding the 'Record a Payment' section:

Within this section, you can:

  • Input the amount paid
    ​

  • Choose the method this was paid by

  • Record the date this was paid on, which you can backdate up to two weeks.

  • Choose whether or not to send a receipt to the parent via email.

You can also record the parent's payment against the full balance due.

Scroll down to the outstanding payment section within the order, select the payment method, date and whether you want to send a receipt.

Then click 'Pay Balance'

This payment will then be recorded and, if chosen, an email will be sent to the parent.
