What is a Temporary Plan?
Each parent/carer can only hold one active subscription plan at a time.
When a parent books into multiple classes or books multiple children into subscription classes in a single order, the system cannot automatically determine the correct combined price. To avoid overcharging, the parent is temporarily placed on a £0 Temporary Plan while the clubs review and assign the correct plan.
No payment is collected while on a temporary plan.
A parent on a Temporary Plan will not be charged until you update them to the correct plan. Make sure to review and action these as soon as possible.
When Does a Temporary Plan Apply?
Multiple children booked in one order
A parent books two or more siblings into subscription classes at the same time. The system combines the default plan prices and informs the parent they won't be charged more than this, while placing them on a temporary £0 plan pending your review.
2. Multiple classes booked in one order
A parent books one child into more than one subscription class in a single order, triggering the same temporary plan assignment.
3. Additional class booked after an existing subscription
If a parent already has an active subscription and later books into another subscription class, they will not be automatically moved. You will receive an email notification and can decide whether their plan needs updating.
What the Parent/Carer Sees
Parents are kept informed throughout this process. When placed on a temporary plan, they receive a notification explaining:
They have booked into multiple classes or for multiple children.
They have been placed on a temporary subscription plan while the club assigns the correct one.
The system has calculated a maximum combined price based on the default plans — they will not be charged more than this amount.
They will be notified when the club updates their plan.
How to Find Parents on a Temporary Plan
Go to the 'Subscriptions' section
Open the 'Plans' filter
Select 'Temporary Subscription'
How to Update a Parent to the Correct Plan
Once you have identified which plan the parent should be on, follow these steps to move them across:
Click 'Edit' next to the parent's name
Click 'Switch plan' under Subscription Plan
Choose the correct plan
Click 'Update' to confirm the change
Plan doesn't exist yet?
If the correct plan (e.g. sibling or multi-class rate) hasn't been created, go to Subscriptions > Manage Plans > Create Plan before switching. Common plans to set up include: 2 children × 1 class per week, and 1 child × 2 classes per week.
Recommended Plans to Set Up in Advance
To make processing temporary plans faster, it's best practice to create commonly needed plans ahead of time. Below are some typical examples:
2 children x 1 class/week
For families with two siblings each in one class.
1 child x 2 classes/week
For a child attending two different classes.
Sibling discount plan
A discounted combined rate for siblings. Standard discount codes don't apply to subscriptions — the discount must be built into the plan price.
FAQs
Can I change multiple parents from a temporary plan at once?
Yes. Use the Plans filter to select "Temporary Subscription," then select all parents using the checkbox at the top of the list. Click Bulk Actions > Change Plan to move them all to the correct plan in one action.
Will the parent be charged while on a temporary £0 plan?
No. A parent on a temporary plan will not be charged until you update them to a paid plan. Make sure to action this before the 1st of the month to ensure payment is collected on time.
What if a parent already has a subscription and books another class?
They will not be automatically changed. You'll receive an email notification. Review their bookings and update their plan manually if the additional class changes what they should be paying.
Can I offer a discount to a parent on a temporary plan?
Discount codes cannot be used with subscriptions. To offer a discount, create a new plan at the discounted price and assign the parent to that plan instead.
