How to set up photo permission and registration questions

Photo Permission

Your system comes with a photo permissions question already integrated into the parent/carer's booking process.

When parents and carers book into your classes, they must choose whether or not they give permission for their child to be photographed.

This question is asked per child, so parents/ carers can decide the photo permission for each of their children.

The photo permission question is asked alongside any registration questions that have been set up. If you don't have any registration questions set up, the photo permissions question will still be asked.

If you ever want to disable the photo permission question you can do this from your 'Settings' > 'Club Features' > then switch the toggle to disable this question.


How to View Photo Permissions

There are three places within the system where you can view the children's photo permissions.

If the parent/carer has given consent to photos, nothing will show besides the child's name.

If the parent/carer has not consented, then this will be clearly displayed next to their name with a cross-out camera icon:

If the question is unanswered, this will show as a grey dot next to their name:

This may show if the parent/carer has been initially added by a coach or if this question was previously disabled and then enabled.

The photo permission icons will show on:

  • The class register:

  • The contacts page

When you export your contacts, this information will show within the spreadsheet.

  • The child's profile


How Parents and Carers Update Photo Permissions

Parents and carers can update the photo permissions for their children at any time through their account here: https://account.class4kids.co.uk/permissions

If parents and carers update this, it will immediately reflect within your club.


Registration Questions

Registration questions can be used to ask parents and carers specific to your club.

During the booking process, registration information will be gathered for both the parent/carer and the child. Registration questions give you the opportunity to ask any other questions you require parents/carers to answer when booking into your classes.

The default questions are outlined below:

How to Set Up Registration Questions

Registration questions can be set up within 'Settings' > 'Registration Questions'

Registration Questions can either be set-up as a 'Parent' or 'Child' question.

Parent questions are asked once per booking. These questions are specific to parents (and carers). These questions can be useful for gathering information about:

  • How parents/carers have heard of your club

  • Marketing permissions

  • If they have been referred by someone to your club

Child questions are asked every time a parent adds a new child account. These questions are specific to the child. These questions can be useful for gathering specific information about the child such as:

  • Their year group

  • How the child will be travelling home

  • Additional support needs

You can select the 'Keep Answers Updated' box to ensure the registration questions are asked whenever the parent books on.

You might want to choose this option if you are asking questions where the answers may have changed. For example, the child's year group. The system will store the parent/carer's previous answers in case this hasn't changed so they don't need to retype their answers.

You can use the toggles on the right side of each registration question to switch these on or off when required.

When parents/carers book into your classes, they will be able to answer any registration questions you have set up.

How to View Answers to Registration Questions

There are three places within the system where you can view the answers to your registration questions:

From the Class Register

On your class register, you can click on 'Registration Questions' from the top right of the page to view all the answers to the registration questions for the children who have booked onto this class:

You can also access specific answers to the questions by clicking 'Contacts' > using the 'Registration Questions' dropdown:


From the Contacts Page

On the contacts page, you can use the registration questions section to view specific answers to any of your questions.

You can filter this by Child or Parent questions and choose which question you want to see an overview for:

When you export your contacts, you will be able to see an overview of all the registration questions and answers for anyone you have exported:


From Parent/Carer and Child Profiles

The answers to registration questions can also be viewed on the parent/carer and child profiles.

To view answers to child registration questions, you can access the child's profile.

Then you can click the 'View' button beside the Parent/Carer Details to access the profile:

From the profile, you can view the answers to any parent/carer registration questions.

The answers to the registration questions will be viewable under the 'Registration Questions' section on each profile:


How to Edit Registration Question Answers

If you have chosen to keep the answers updated, the system will check that the answers are the same when they next book in -

If the parent/carer needs to edit their response to a question, you can update this from the child and parent profiles.


Child Registration Questions

If the registration questions was on behalf of the child, access the child's profile and click 'Edit' -

This information can then be edited -


Parent Registration Questions

If the registration questions was on behalf of the parent, access the parent/carer's profile (which can be access through the child's account by clicking 'View' next to the parent/carer's details)

From the parent/carer's profile click the 'Edit' button -
