You can view all emails from within the 'Communications' section in your system.

Emails sent to a specific parent/carer can be viewed within their profile under the 'Communication Record'


Booking Confirmations:

Booking confirmation emails will be sent out in situations where the parent has booked/been booked into a class without making payment.

This could be if the 'Payment Secures Booking' feature is switched on and parents can book in without making payment.

Or if you have booked a parent/carer in manually and sent out a booking confirmation.

Booking confirmations will give details of:

  • The club the parent/carer has booked with

  • The price owed

  • How the parent/carer can pay

  • The class/ camp including the sessions, times and venue

For standard payment term classes:

For Subscriptions:

For Camps:


Invoices:

Invoices can be sent out manually from:

  • The class register by selecting the child using the checkbox to the left > 'Message' > 'Invoice'

  • The order page by clicking 'Send Another Invoice'

  • The 'Schedule' page by clicking 'Invoice'

The invoice will contain the same information as the booking confirmation.

This will give details of:

  • The club the parent/carer has booked with

  • The price owed

  • How the parent/carer can pay

  • The class/ camp including the sessions, times and venue


Receipt of Payment:

Receipt of payment emails will be sent out when the parent/carer has made a payment for their booking.

Parents and carers will receive this email rather than a booking confirmation if the 'Payment Secures Booking' feature is switched on as they will need to make payment when booking into your class.

Parents and carers can also receive this if you choose to send out a receipt when marking an order as paid using offline methods.

Parents and carers will not receive this email when making a subscription payment.

Online payments will give details of:

  • The club the parent/carer has booked with

  • The amount paid

  • The order they have paid for


Invitation to book from the Waiting List:

From the 'Waiting List' section on the class register, you can book any children from the waiting list into the class:

This will send an email out to the parent/carer to let them know a place has become available for this class.

If the parent/carer is still interested in this class, they will be able to confirm their booking by making payment or rejecting their place.

The email will give details of:

  • The child the place is available for

  • The class including the sessions, time and venue

  • The price owed

  • How they can accept or reject the booking


Invitation to book after a trial:

If the parent/carer has attended a trial and you send them out an invitation to book in for the rest of the term using the 'Trial Options'

Within this email, the parent/carer will be able to book in for the rest of the term using the 'Book' button or can choose not to continue by clicking 'Not Returning'


Transfer to Another Class:

If you have chosen to send a confirmation email to the parent/carer during the transfer process, this will send out the following email:

This email will let the parent/carer know that their child has been moved to another class.

This will also give the details of:

  • The class they have been moved to

  • The first date of the new class

  • The details of the class including the sessions, time and venue
