How to create a term and class

How to Add a New Term

To add a new term, access the 'Schedule' page

From there, click 'Add a New Term' in the top right of the page


Enter your Term Name, Payment Method, Dates and Holidays

To make it clear which dates this term will cover, we have found naming terms after seasons works well! For example: 'Summer Term 2023'

Select the 'Standard' payment option for term payments or the 'Subscriptions' option if you are running subscription classes.

Select the first and last week in your term:

Then click the 'Add in any holidays' button to select any days you aren't running within your sessions (for example, bank holidays). These will show as red on the calendar.

You don't need to add any days your classes don't usually run as a holiday!

For example, if you aren't scheduling any classes on a Saturday, you don't have to mark this as a holiday.

Once you click 'Save' this will create the term.


How to Add a New Class

To add a new class, click 'Schedule a Class' within your chosen term

Enter the Class Details

The Class

You can then select the class you want to add from the dropdown.

If you need to create a new class, you can do this by clicking the 'Add a New Class' below the dropdown option

You can enter the name of your class and a description of what the class is about (which will appear in a description box when the parents/carers book on.) You can then select the activity type and then the age range.

After you have created a class, you will be able to select it from the dropdown menu when adding a class to your term.

You can also create new classes at any time by clicking on the 'Schedule' page > 'Class Types' -

If you click the 'Add New Class' button in the top right corner then you can enter the details for your class


The Venue

Next, you can choose the venue where the class is running.

If you need to create a new venue, you can do this by clicking the 'Add a New Venue' below the dropdown option

You can enter the details of your venue and any venue notes (which will appear in a description box when the parents/carers book on.)

After you have created a venue, you will be able to select it from the dropdown menu when adding a class to your term.

You can also create new classes at any time by clicking on the 'Schedule' page > 'Venues' -

If you click the 'Add a Venue' button in the top right corner then you can enter the details for your venue


Capacity

You can then enter the total capacity of children you would like to book in for this class.

Once the class reaches full capacity, parents/carers won't be able to book onto the class. Instead, they will be offering to join the waiting list.

They will still choose the child they want to book and answer any registration questions you have set up.

Then, if a place becomes available, you can book them onto the class.

Private

You can choose for this class to be created privately by clicking the checkbox, which will hide it from your public booking page.

Making this private is a great idea if you don't want parents/carers to view your new class just yet.

You can also make the class public again if needed by clicking 'Edit' on the class register

Then unchecking the box to make this public


Weekly Plan

Here you can select the day and time your class will run


Term

If you need to check or edit the term that this class is being added to, then you can amend this by selecting the term from the dropdown


Payment Options

You can choose whether you would like to charge Full Term and Pro-Rata pricing or just Full Term.

If you set this to Full Term only, the customer will always pay this price regardless of when they book in.

Pro-rata pricing will be automatically calculated based on the number of remaining sessions in the term.

The Term Price is the price for the full term and the Session Price is the price for the individual session.


Trial Options

Here you can choose whether to offer a trial on this class.

If you choose to offer trials, you can enter the price per session and the number of sessions parents/carers must book in for
